When a printer won't print, work through eight fixes in this order: check power and the printer's display, confirm the right default printer, clear the queue, restart the Print Spooler, switch off offline mode, reinstall the driver, check the port or cable, and test the printer by itself. The order matters because each step is quicker than the next.
What does "not printing" actually mean on your screen?
Three different situations hide behind the same complaint. In the first, the document never leaves the computer: it sits in the queue with a status like Error or Offline. In the second, the printer receives the job, wakes up, and then does nothing or shows a message. In the third, paper comes out, but it's blank or garbled. This guide targets the first two, mostly on Windows 10 and 11.
Look at the queue before anything else. Double-click the printer icon in the system tray, or open the printer in Settings and choose Open print queue. A job showing Error or Printing for ten minutes tells you the problem is on the computer side. An empty queue with an unresponsive printer points at the machine.
Which eight fixes should you try, and why do they work?
1. Read the printer's display and lights
Before touching software, look at the printer. A blinking light or a message like Paper Out, Cover Open or Cartridge Problem will stop every job, no matter how perfect your driver is. Fix what it says, then send the job again.
2. Make sure the right printer is the default
Windows can quietly send documents to Microsoft Print to PDF or OneNote when "Let Windows manage my default printer" is on, because it picks the last printer you used. Open Printers & scanners, switch that option off, and set your real printer as default. This single setting explains a surprising number of "ghost" print jobs.
3. Cancel everything in the queue
One stuck document blocks those behind it. In the queue window choose Printer, then Cancel All Documents. If a job shows Deleting but never disappears, move on to the next fix.
4. Restart the Print Spooler
The Print Spooler is the Windows service that holds jobs before sending them out. Press the Windows key, type services.msc, find Print Spooler, and choose Restart. For a stubborn job, stop the service, delete the files inside C:\Windows\System32\spool\PRINTERS (the files only, never the folder itself), then start it again. Our spooler error guide covers failures where the service won't start.
5. Turn off "Use Printer Offline"
In the queue window, open the Printer menu and check whether Use Printer Offline has a tick next to it. Windows sometimes sets this after a brief disconnection and never resets it. Untick it, and the queue should start moving. If the printer keeps going offline, the cause is deeper, and the offline fix guide explains why.
6. Reinstall the driver properly
Removing the printer from Settings often leaves the old driver behind. Remove the device, open Print server properties from the Printers & scanners page, and delete the driver package on the Drivers tab. Restart the computer, then install the current driver for your exact model from the manufacturer's site.
7. Check the port or the cable
A USB printer needs a good cable, preferably a short one plugged into a rear port. Swap the cable and try a different port. For a network printer, open Printer properties, then the Ports tab, and confirm the IP address listed matches the one on the printer's network report. A mismatch is a frequent cause after a router restart.
8. Test the printer on its own
Print the self-test page from the control panel, then try a different computer. If another computer prints fine, the fault is in your Windows setup. If nothing prints from anywhere, the printer itself needs inspection.
What if you use a Mac?
The logic is the same, the menus differ. Open System Settings, then Printers & Scanners, and check whether the printer shows as Paused or Offline in its queue. Remove the printer and add it again by IP address if it's on the network. If that doesn't help, Control-click the printer list and choose Reset printing system. That clears every printer and queue on the Mac, so only use it as a last software step.
How do you read the queue status?
The wording in the queue window is a clue, not decoration.
| Queue status | What it usually means | Next move |
|---|---|---|
| Spooling | The computer is still preparing a large job | Wait a minute, then check again |
| Printing, but nothing happens | The job reached the port but not the printer | Check cable, IP address and printer display |
| Error | The printer rejected the job or the port failed | Read the printer panel, then restart the spooler |
| Offline | Windows can't reach the printer | Untick offline mode, check the address |
| Deleting | The job is stuck | Stop the spooler and clear the folder |
How can you tell if the hardware is at fault?
Certain signs say the problem has moved beyond software. The carriage hits the side and stalls. Paper pulls in and jams at the same place every time. The printer powers on, then shuts down within seconds. A burning smell, a loud grinding noise, or a "service required" message also points to hardware.
Don't keep sending jobs to a printer showing those signs. Repeated attempts can strip gears or overheat a failing board. Our printer not printing fix service covers both the software side and the bench repair, and you can also read about common causes.
What does a repair usually cost?
Software and driver fixes are the cheapest category, indicatively ₹350 to ₹399. A deeper software repair visit is listed at about ₹399 to ₹999. Hardware repairs depend on the part: a roller or sensor is a small job, while a main board is a larger one, with our Brother and Canon motherboard repairs listed at roughly ₹2,999 to ₹8,999 for the models we price.
All quotes are written before work begins, and the ₹350 inspection fee is refunded when you go ahead with the repair.
Frequently asked questions
Why does my printer print from one program but not another?
The program may be using a different printer setting, a different paper size, or a damaged document. Print the same file as a PDF and try again. If the PDF prints, the original file or its fonts are the issue.
Why does the queue empty but nothing comes out?
The job reached the printer and was then discarded. Typical reasons are a paper-size mismatch, a generic driver speaking the wrong page language to the printer, or a printer waiting for you to confirm the paper size on its own panel. Check the display, and install the model-specific driver instead of a generic one.
Will reinstalling Windows fix a printer problem?
It's rarely necessary. Most failures sit in the spooler, driver or port, all of which you can fix without a reinstall.
Why did my printer stop working after a Windows update?
Updates sometimes replace a manufacturer driver with a generic one or reset a port. Reinstalling the full driver package normally restores it.
How do I know if my printer is dead?
A printer that gives no lights, no sounds and no display even on a different socket and cable may have a failed power supply or board. Inspection will tell you whether repair is sensible.
If you've worked through all eight fixes and the printer still refuses to print, book an inspection through our contact page. A technician will test the printer on its own, away from your computer and network, and most common repairs are finished the same day.
